MEETING PLANNERS

The requirements will vary depending on the type of event that is being held, the number of attendees,  the format of the delivery, length of time and amount of audience participation requested.  Let's make certain we communicate with each other well so that you get exactly the type of presentation you are looking for.

Details matter!  For this event to be the best it can be, the attendees need to be able to see and hear everything clearly, no matter where they are seated in the room, with that in mind, here are some suggestions.

Staging

Raised platform that is sturdy and quiet and  minimum of 16' wide (24' preferred) and a height of 12" or higher for under 200 people, 18-24" for 200+, and 36-58" for 500+. 

Room set-up

Preferred room set up is round tables, chairs facing forward
Even number of chairs per table
Lights up and bright on speaker and on audience
Small skirted table on the stage for notes and water
Six foot table nearest the entry door for product sales, if allowed

Handouts

The master copy will be provided to you by e-mail well before the presentation, please have one copy for each participant placed at their seat, along with a pen.  I may also ask you to provide things such one sheet of coloured paper and an envelope per guest,   a piece of flip chart paper  or sticky notes on each table.

AV Equipment

  • a wireless lavaliere microphone
  • a back up wireless handheld microphone
  • laptop (sound capabilities)
  • cable audio connection to house sound system via laptop
  • audio cassette or cd player connected to house sound system
  • LCD projector with remote wireless clicker to advance slides
  • large overhead 8x8 screen to left side of stage  
  • 2 flip charts  
  • Overhead projector (stored under table for back up)
